Agency Onboarding Checklist

Onboarding is where a confident sale can turn into a shaky client experience. The contract is signed, enthusiasm is high—and then delivery waits for logins, brand assets, approvals and answers scattered across email threads.

Define “ready for delivery”

Create a small set of readiness criteria. Access is confirmed. Billing is active. The primary contact and approver are known. Required assets have arrived. The scope and first milestone are understood. Delivery should not quietly begin while half of those remain unresolved.

Handoff rule: Sales owns a clean transfer; onboarding owns readiness; delivery accepts the account only when the agreed inputs exist.

Automate collection, not accountability

Forms, reminders and task creation are good automation targets. Deciding whether an incomplete answer is acceptable is not. Give one person responsibility for moving the account through onboarding and a visible place for blockers.

Make the client feel momentum

A short welcome, a clear checklist and a first milestone create more confidence than a giant portal full of unexplained tasks. The internal process can be sophisticated while the client experience stays simple.

Measure time to ready

Track the days between signature and genuine delivery readiness, then record why accounts stall. If access requests cause most delays, fix access collection. If approvals are the problem, clarify the approver during sales. The onboarding metric becomes useful when it points to a repair.
